Payment receipt email template

A receipt for a subscription or service payment with the amount, payment method, billing period and a link to the invoice.

A payment receipt confirms that money moved. For a subscription or a service, that means the amount, what it paid for, the period it covers and the card it came from. This template puts those in a small table that people can scan, file or forward to their accounts team.

It is not an order confirmation: there is nothing to ship. The useful extras here are a link to a downloadable invoice and a way to change billing details.

What this email must include

  • The amount and currency, the payment date, and a receipt or invoice number.
  • What the payment was for: the plan name and the billing period it covers.
  • The payment method in a safe form, such as the card brand and the last four digits.
  • Your business name and address, and tax details if customers need the receipt for expenses.
  • A link to the invoice and to billing settings.

Your Example Co receipt #R-1042

$29.00 paid for the Pro plan, 1 to 30 June.

Payment received: $29.00

Thanks. Your receipt and invoice are inside.

Receipt for your June subscription

Visa ending 4242 was charged $29.00.

When to send it

Send it right after the charge succeeds. For renewals that run overnight, a receipt waiting in the morning explains the bank notification before the customer wonders about it.

When a charge fails, send a separate payment failed email instead. It needs a different headline and a button to update the card, so do not reuse the receipt layout for it.

Deliverability and security notes

A receipt is a transactional email. Send it to every customer who paid, including people who unsubscribed from your marketing, and keep promotion out of it so it stays transactional.

Never include the full card number, the expiry date or the security code. The brand and the last four digits are enough for anyone to recognise the charge.

Accounts teams forward receipts and search for them months later. A consistent subject with your company name and the receipt number makes them easy to find.

Tips for using it

  • Use the name that appears on the customer's bank statement somewhere in the email, so the charge and the receipt match.
  • If the account has a billing contact, send the receipt there as well as to the account owner.
  • Put the amount in the subject or the preview text. It is the first thing people check.
